How a coordinator fills a Saturday shift

In the demo, a food pantry needs people for a Saturday intake desk and a delivery run.

  1. Today lists the decisions waiting

Seven people have never been asked, a delivery has three gaps, and an intake desk has no one eligible. Each line opens the screen where the coordinator decides.

Today for Thursday, October 29: To do lists 7 first offers ready, Fall food drive with 3 of 3 assignments ready, Saturday delivery with 2 of 3 assignments ready and 3 gaps, Spanish intake desk with no eligible people, and Rae Morgan paused after 3 unanswered asks. This week lists Saturday distribution, 4 of 4.

  2. The task shows who fits and who goes first

A task names what it needs, such as Spanish or a driver's license. Only people who meet the requirements are asked, and the person who has waited longest goes first. The coordinator asks a few at a time, asks everyone who fits, or picks by hand.

The Donation pickups driver task on a desktop screen: Thursday, Oct. 29, 4 to 6pm at the East Side branch, 1 of 2 filled. The Volunteers list shows one person confirmed. The Asked list shows who accepted and who is pending, with a Reset link action.

  3. Each person asked gets a private link

The coordinator pastes the links into the email, text, or chat the organization already uses. The task list shows how many spots are filled and how many answers are pending.

The task list on a phone: Check the event page, due Wednesday, 0 of 1, Draft; Registration desk, Thursday 4 to 6pm, 0 of 2 with 4 pending, Open.

What a coordinator keeps in Volley

  • People, with the fields the organization chooses

Skills, experience, availability, and how often someone volunteers. The list sorts by who has waited longest, and a filter can be saved as a list. Volley proposes the tags, and the coordinator changes any of them.

The People list on a phone, 26 shown, longest wait first. Filters for never asked, paused, and stopped, tiers from one time to core, and tags such as Driving, Kitchen, Remote, and Spanish. Each person shows their skills, usual times, and hours, and an Offer ready badge.

  • A need holds its assignments and supplies

Something the pantry wants to run, such as a Saturday delivery, lists the assignments it takes and the supplies it can't start without. Each assignment shows the person who fits or the gap.

The Needs screen on a phone: Fall food drive and Saturday delivery, each with its assignments and a status.

  • A demo that asks about the visitor's own organization

The demo opens a sample food pantry with 26 volunteers and walks through five screens. At each stop it asks how the visitor's organization handles the same decision today.

The demo card over the task list on a phone: Demo, 3 of 5, What a volunteer sees. A page on their phone with the task and two buttons, and no account to make. The question asks how the visitor's volunteers hear from them now. Buttons for Back, Open volunteer page, and Next.
